Settling an estate shouldn't take a second full-time job.

The work that follows a funeral is exhausting. The CRA needs to be notified. Service Canada needs to be told. ServiceOntario, the banks, the utilities, the credit cards, the subscriptions, the pensions — each one has its own forms, its own waiting times, its own requirements.

Most executors spend 30 to 50 hours over several months handling this work, often while grieving and managing their own jobs and families. The administrative burden falls hardest on the people least able to carry it.

Unlike software platforms that ask families to enter data, sign documents, and coordinate the work themselves, we handle the entire administrative scope as a service. One intake conversation, periodic updates, and a finished binder at the end.

Free 15-minute discovery call Step 01 · No commitment

We start with a no-commitment conversation to understand your situation, confirm whether we're the right fit, and answer your questions. You'll know after this call whether to move forward.

Intake and authorization Step 02 · Week 1

If we're a fit, we send a simple intake form and a one-time authorization document. You provide essential information about the estate and the deceased; we handle the rest from there. You won't need to log into a platform or coordinate ongoing tasks.

iii.

Active notifications and follow-up Step 03 · Weeks 2–12

Over the following weeks, we draft, send, and follow up on notifications to every applicable institution. You receive milestone updates as major notifications are completed and confirmations are received. Your involvement is minimal — typically just signing a few documents that require executor authorization.

iv.

Case completion and final binder Step 04 · Week 12+

When all notifications are processed and confirmations are received, you receive your complete proof-of-notification binder. Every notification, every response, and every confirmation is organized and documented for your records and for the estate's files.

What we don't do.

We're focused specialists, not a full-service estate firm. Being clear about our scope is important — it lets us do this one thing well, and it ensures you're not relying on us for things outside our expertise.

  • Provide legal advice or apply for probate. Your estate lawyer handles these matters. We coordinate seamlessly with them.
  • Prepare tax returns or apply for clearance certificates. Your accountant handles these. We coordinate with them when our work intersects with tax timing.
  • Distribute estate assets to beneficiaries. The executor handles this directly with the estate accounts.
  • Provide grief counseling or therapeutic support. We focus on administrative work; we encourage families to seek emotional support from professionals trained in bereavement.

Frequently asked questions.

You can absolutely handle estate notifications yourself — many Ontarians do. The work typically takes 30–50 hours spread over several months: drafting letters, calling institutions, mailing certified packages, tracking responses, and following up when things don't go as expected. Passage Co. handles all of this on your behalf, freeing up that time during a period when most executors are already stretched thin.
Many Ontario funeral homes provide a checklist or general guidance about who to notify after a death. Some have partnerships with software services that families can use to file notifications themselves. We're a different category of service — we don't give you a checklist or a platform. We do the work as a service, with you only involved at intake and milestone reviews.
Comprehensive estate settlement services typically start at $4,948 and handle the full scope of estate administration, including probate applications, tax filings, and asset distribution. We focus specifically on the notification work and don't compete with full-service settlement providers. If you need help with probate or estate distribution, those services may be more appropriate. If you specifically want help with notifications, we're designed for that scope.
Some software-based notification services charge $300–$400 and require families to enter data, review documents, digitally sign forms, and coordinate with their funeral home or professional partner throughout the process. We charge more because we handle that work as a service, not as a self-serve platform. The customer experience is fundamentally different — and most of our customers tell us the time savings make the difference worthwhile.
In most cases, yes. Administrative services that are reasonable and necessary for estate settlement are typically reimbursable from the estate before distribution to beneficiaries. This means the cost generally doesn't come from your personal funds. We recommend confirming with your estate lawyer, but in our experience, our fees are treated the same as legitimate professional services like accounting and legal fees. We can walk through this on your discovery call.
In rare cases, an institution may require something we can't provide — for example, in-person attendance by the executor at a specific location, or a notarized document the executor must obtain. When this happens, we tell you immediately, provide a clear explanation of what's needed, and offer to prepare everything else so the only remaining work is the step that requires you personally. We never quietly leave items unfinished or hidden.
We treat estate information with the same care professional services firms apply to sensitive client data. Information is encrypted, access is limited to the founder and any authorized team members, documents are securely stored, and information is destroyed according to a defined retention policy after case completion. We're PIPEDA compliant and carry both errors and omissions and cyber liability insurance.
Yes. Our base scope covers the institutions most Ontario estates need to notify, but every estate is unique. During intake, we ask about additional accounts, subscriptions, and organizations specific to the deceased. We handle reasonable additions at no extra cost; for unusually complex or extensive additions, we'll discuss any scope adjustment before we begin.
